Job Description

Title:   Asst. Marketing Manager – Grant Mgmt. & Statistics-   Effective Date: June 1, 2018

Supervisor: Vice President of Marketing

Overall Responsibilities:  To provide operational support to USADPLC Marketing Division, including managing the UES documentation and financial processes, providing market data collection and analysis, and assisting in marketing activities planning and execution

Accountability:  The Assistant Marketing Manager is accountable to the CEO and Vice President of Marketing for all duties assigned, particularly in the areas of grant management, statistical database, market analysis, and budget management.

Specific Responsibilities:

1. Statistical Analyses in support of industry strategies, domestic and international, including but not limited to:

·       Pulse markets import and export data, consumer research, consumption patterns and trends, Acreage, yield, production, stocks on hand data and projections and market analysis.

2.  Support of Marketing Activities:

·       Manage the DMC and IMC calendars, notices, packages, and meeting minutes.

·       Monitor all marketing deadlines, domestic and international: activity deadlines, filings, grant submissions, reports, extension requests, etc.

·       Participate in the drafting of the annual USDA/FAS (UES) grant application, with emphasis on collecting relevant data and reporting results of prior-year activities.

·       Assist in the preparation and execution of marketing activities as assigned, including trade shows, trade missions, social media outreach, education events, promotional events, etc.

·       Manage trade leads.

·       Manage the Marketing contacts database, domestic and international.

·       Work with VPM and DDM to create presentations outlining marketing results, activities and goals for the membership.

·       Write and publish minutes for the industry Domestic and International marketing committees.

3.  Administrative tasks in the USDA/FAS United Export Strategy (UES) grant:

·       Quality Management Program- Maintain and enforce standard operating procedures and best practices for policy/procedures, records management, document control and archives.

·       UES Invoices & Expenses.  Review all invoices & expense reports for proper documentation and submit same for payment in a timely manner.

·       Maintain UES documents.  Maintain files of all original USDA/FAS-USADPLC Agreements and Amendments.

·       UES Document Review.  Ensure all documents and expense reports relating to the UES programs comply with USDA Foreign Ag Service (FAS) rules and regulations.

·       FAS Audits.  Maintain all necessary documentation for periodic USDA/FAS audits.

·       End of year Reports.  Compile, complete and submit all end-of-year financial reports to FAS.

·       Monthly Budget Report.  Reconcile monthly budget reports with FAS and prepare a monthly budget report on UES activity by the 10th of each month.  Submit this report to the financial officer and management staff.

4.  Administrative tasks:

·       Manage the USADPLC relationship with the food aid community, including handling PL 480 announcements, providing information to PVOs and other interested parties, planning and executing events for food aid organizations.

·       Organize the annual Marketing Staff Conference for the international marketing representatives.

Administrative Responsibilities:

·       Office Operations: Assist management staff in areas of general office operation including phone reception

Travel.  Participate in selected domestic and International activities in accordance with U.S. Department of Agriculture and USADPLC travel guidelines.

Position Requirements

BS/MS or equivalent of 1-2 experience in marketing/economics/statistics. Technical qualifications should include experience in marketing, statistical databases and analysis, project management and food product promotion. Knowledge of food marketing and economic analysis is required.  The individual should demonstrate effective communication skills, both oral and written, experience in strategic planning, grant writing, and strong computer skills. Position includes travel.

Asst. Marketing Manager – Public Relations

Active role in public relations via social media, press releases and industry outreach. Creating press releases, social media posts, web content and other external communications. Research and prepare grant applications, grant management and reporting. Excellent computer skills to produce high level data driven reports/infographics. Will assist with Federal Grant (UES) documentation and financial processes, providing market data collection and analysis, and assisting in marketing activities planning and execution in multiple markets.

Accountability:  The Assistant Marketing Manager is accountable to the CEO and Vice President of Marketing for all duties assigned, particularly in the areas of grant management, statistical database, market analysis, and budget management.

·       Create original content for multiple media streams including social media, web, newsletters, magazines and press.

2.  Support of Marketing Activities:

·       Manage the Domestic Marketing calendars, notices, packets, and meeting minutes.

·       Monitor assigned marketing deadlines, domestic and international: activity deadlines, filings, grant submissions, reports, extension requests, etc.

·       Assist in the preparation and execution of marketing activities as assigned, including trade shows, trade missions, social media outreach, education events, promotional events, etc.

·       Manage trade leads to support membership and members.

·       Manage and promote the use of the Pulse Brand according to brand guidelines. Increase the use of the Pulse Brand among members.

·       Manage the Marketing contacts database, domestic and international.

·       Work with VPM and DDM to create presentations outlining marketing results, activities and goals for the membership.

·       Work with VPM, DDM and other staff to support social media campaign on multiple platforms. Adhere to strict editorial standards.

·       Create reports of social media campaign and web site activity.

·       Assists with Membership and Communications to promote membership and member communication / support.

·       Directly manage technical seminars including event planning, workshop content, reporting and budget management.

3.  Administrative tasks:

·        Provide assistance to staff to organize the annual Marketing Staff Conference.

·       Research and prepare grant applications to support the Domestic and International Marketing Departments.

·       Provide secondary support to UES Federal Grant and audit process
